Program/Department: Physician Services
Schedule: 40 Hours/Week - Monday thru Friday 9am - 5:30pm

Job Summary: Responsible for supporting and assisting Trillium Family Services physicians with regard to administrative and organizational tasks.
|Demonstrates Competency in the Following Areas:|
|Coordination with the pharmacy on behalf of the physicians:
Contact pharmacy for MD specific inquiries; Disseminating Consultant Pharmacist Recommendations to each doctor
Document Referral/appointment recommendation in TIER; Coordinate Outside appointments/Referrals with MDs, Nurses and outside provider; Facilitating/transporting external appointments for clients when necessary; Assure follow-up information from the referral/appointment is received by the physician.
|Liaison with clients, families, and other professionals on behalf of the MD
Function as a liaison between Trillium Family Services and the medical community; Administrative calls to parents; receiving and prioritizing incoming calls for MD; facilitating external phone calls for MD; sending and receiving ROI documents; relaying messages to MD
|Assistance with documentation tasks
Facilitate same day signatures needed for Controlled Substance Medications refills and new orders; timely lab results paperwork signoff and chart filing; facilitate getting MD timely verbal orders signatures in TIER; interface with Records department to expedite Health Record/documentation requests; courier for documentation to and from MD; assisting with consent process (drafting templates, collecting MD signature, faxing to guardian, etc)
|Organizing and facilitating the MD schedule
Scheduling MDs appointments; facilitating MD’s daily schedule and last minute changes; keeping the MD on time/schedule throughout the day
|Medication management and pediatric medical appointments
Collecting clinical summary sheet for MD; transporting clients to med management appointments (off site if required) and pediatric clinics; vitals signs

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education: Bachelor’s degree in mental health or medical field preferred.
Certificates, Licenses, Registrations: Maintain a driving record acceptable by the agency and a current driver’s license for state of residence, when authorized to use own vehicle for agency business, employee must maintain personal insurance
Experience: CNA or equivalent preferred. 2 years experience in psychiatric treatment facility preferred.
Job Knowledge: Understanding of medical terminology and processes, understanding of mental health population, knowledge in computer systems and scheduling
Skills: Computer skills; word processing and data entry
